Your role is essential - from welcoming visitors with a smile to setting up meetings, you're the one who makes it all happen.
As an Administrative Assistant, you will provide clerical support, including editing and preparing correspondence, generating and maintaining files, heavy calendar and meeting scheduling, coordinating conference room meeting needs, and data entry.
You may also be tasked to assist with special projects and events.
What You'll Do:
Manage the Front Reception Desk:
Ensure the front desk runs smoothly by:
Promptly answering and directing incoming calls.
Welcoming and assisting visitors.
Keeping the reception area tidy and well-stocked with necessary supplies.
Maintain Conference Rooms:
Regularly check and prepare conference rooms to meet various meeting requirements.
This includes arranging seats and equipment as needed, ensuring all supplies are available and replenished.
Provide Clerical Support:
Your role will include key administrative tasks such as:
Editing and drafting correspondence.
Creating and organizing files.
Managing a busy calendar, including scheduling meetings and appointments.
Performing data entry with attention to detail.
Coordinate Meetings:
Take charge of meeting logistics, especially for those held in conference rooms.
Responsibilities includes scheduling meetings in line with attendees' availability.
Arranging necessary materials or equipment for each meeting.
Support Special Projects and Events:
Be prepared to take on additional responsibilities, such as helping with special projects and events, as directed.
Your involvement will be crucial to their success.
Who You Are:
High School diploma or GED.
Must be available Monday through Friday, with flexibility when needed.
Prior experience working in an administrative capacity.
Excellent collaborative, interpersonal, and communication skills.
Computer literacy; proficiency in Microsoft Word, Outlook, and data entry Well-developed verbal, listening, and written communications skills.
Strong organizational skills and ability to prioritize multiple tasks.
Good attention to detail and desire for quality work Ability to work independently or as a team player.
Ability to maintain a professional appearance and manner.
Ability to contend with a wide variety of people on various issues.
Ability to work in a busy office with constant interruptions.
Helpful to have:
Experience with multi-line phone systems.
